RFTA is looking for an administrative assistant to perform a variety of Administrative and HR tasks to support the Vehicle Maintenance Department. Organizational and communication skills a must! Position, based in Aspen, includes competitive pay and RFTA's full benefits package (health, life, dental, vision, retirement, and ski pass).
Performs a variety of administrative, office, and organizational support tasks for the Vehicle Maintenance Department. Executes a variety of administrative functions, including coordinating record keeping, tracking new hire documentation, filing, customer service support, uniform management, vehicle asset tracking of licenses and registrations, maintaining shop/diagnostic laptop, and numerous other tasks as assigned.
ESSENTIAL DUTIES:
1. Performs administrative and clerical duties for the purpose of assisting the Vehicle Maintenance Department in the performance of their work and the efficient operation.
2. Provides administrative support, including, but not limited to: (1) serving as an administrative and support person; (2) handling general office management duties and responsibilities; and (3) inputting records into employee databases.
3. Provides clerical support, including making copies, filing, scanning, sorting, printing and distribution; coordinating, preparing and distributing correspondence, maintaining office organization and record keeping, and maintaining office machines.
4. Works with Human Resources to schedule, coordinate, and document new employees through a pre-employment process including, MVR records, Background Checks, Fit for Duty, Drug Screening, and DOT Physicals as needed.
5. Tracks vehicles to maintain new, existing and retiring vehicle equipment licenses, titles, and registrations in a timely manner.
6. Monitors, tracks and documents certification statuses of maintenance personnel including, ASE, CSA CNG Fuel System Inspector, UST, CNG Fueling, Section 609 & 608 A/C, CDOT Annual Inspection, and CDOT Brake Inspector certifications.
7. Assists payroll entries in timekeeping software (Caselle).
8. Maintains and manages the retention of employee records and personnel files, including employee performance, absence and general personnel information.
9. Tracks required documentation for the VM department, including Licenses and DOT cards.
10. Maintains office organization, printers, and stocks needed supplies.
QUALIFICATIONS AND JOB REQUIREMENTS:
- High school diploma or equivalent training that will allow incumbent to successfully complete job duties.
- Excellent communication skills, both written and verbal (Spanish desired, but not required).
- Two (2) years of experience in a similar administrative role is preferred.
- Expert ability in the proficient use of Microsoft Office, spreadsheet software, as well as proficiency in email and internet use. Must have ability to become proficient in various programs, including, Trapeze EAM.
- Excellent ability to manage public customer service information for a variety of departments.
- Excellent ability to manage time and workload effectively to meet deadlines.
- Excellent customer service skills with the ability to respond positively and proactively to complaints and concerns, oftentimes in stressful and high-pressure situations.
JOB CLASSIFICATION, JOB LOCATION AND WORK SCHEDULE:
Full-time Year-Round Position; office and primary location is in Aspen, Colorado, however, Must be available and willing to work either at RFTA's Glenwood Springs Maintenance Facility and/or at RFTA's Aspen Maintenance Facility.
SALARY RANGE: Salary Range from $18.85 to $26.39 an hour, based on knowledge, skills and experience. Position is Year Round and includes RFTA's full benefits package, including health, dental, vision, and life insurance, Paid Time Off, as well as employee ski pass or monetary equivalent, bus pass for dependents, and RFTA's retirement savings plan.
